Last Updated: 31 October 2025
This Privacy Policy explains how ReasonEra (“ReasonEra”, “we”, “us”, or “our”) collects, uses, stores, and protects your personal data when you visit www.reasonera.com (the “Site”) and when you use our AI-powered puzzle-solving service (the “Service”).
We are committed to protecting your privacy and complying with applicable data protection laws, including the EU General Data Protection Regulation (GDPR).
1. Data We Collect
We may collect the following categories of information:
- Account Information: Email address and other details you provide when creating an account or purchasing access.
- Billing Information: Payment details are collected and processed by our Merchant of Record and payment provider, Paddle.com Market Ltd. We do not store full payment card details on our servers. We may receive limited billing metadata (e.g. confirmation that payment succeeded, access status, country for tax/VAT purposes).
- Uploaded Content: Images, screenshots, and puzzle content that you upload for analysis. This may include any text or other information visible in those uploads. We process this content to generate AI-assisted reasoning outputs.
- Usage Data: Log data and technical information about how you interact with the Site and Service, such as IP address, browser type, device type, pages visited, timestamps, and error/debug information. We use this to operate, secure, and improve the Service.
- Support Communications: Messages you send to us (for example, via contact forms or email), including the content of your request and your contact details.
2. How We Use Your Data
We use personal data for the following purposes:
- To provide the Service: We use your uploaded content to generate puzzle reasoning and answers using our AI. We use your account data to authenticate you and give you access.
- To manage purchases and billing: We work with our payment partner, Paddle, to process payments, apply taxes (including VAT), issue invoices/receipts, and manage refunds.
- To maintain and improve the Service: We analyse usage data to monitor performance, detect outages, fix bugs, and develop new features.
- To prevent fraud, abuse, and policy violations: We may review activity and certain uploaded content to prevent misuse of the Service (for example, automated scraping or model extraction).
- To provide support: When you contact us, we use the information you provide to respond to you.
- To comply with legal obligations: We may process and retain certain information to comply with applicable law, tax, accounting, or regulatory requirements, and to respond to lawful requests from authorities.
3. Legal Bases (GDPR)
Under GDPR, we rely on the following legal bases for processing personal data:
- Performance of a contract: We need to process certain data (like your account email and access status) to provide the Service you paid for.
- Legitimate interests: We process usage data to maintain security, detect abuse, and improve the Service. We consider these interests to be legitimate and balanced against your privacy rights.
- Legal obligation: We may process certain information to comply with legal, tax, anti-fraud, and accounting requirements.
- Consent: In cases where we ask for your explicit consent (for example, certain marketing emails or if we ever ask to use your uploaded content to further train our models), you can withdraw that consent at any time.
4. Payment Processing and Merchant of Record
Payments for ReasonEra are handled by our third-party payment partner, Paddle.com Market Ltd., acting as Merchant of Record. This means they:
- process your payment securely,
- handle applicable VAT / tax calculation and collection,
- issue invoices and receipts, and
- manage certain billing-related customer support (such as refunds).
Because they act as Merchant of Record, they may be required to collect and store some personal and billing information about you in order to comply with tax, accounting, anti-fraud, and regulatory requirements.
We receive only the minimum necessary billing data from them (for example, payment success status, region for VAT). We do not receive your full card number.
5. Data Sharing
We do not sell your personal data.
We may share data with third parties in these limited situations:
- Service providers: We may share data with trusted infrastructure and analytics providers who help us host, deliver, or secure the Service. These providers are bound by confidentiality and data protection obligations.
- Payment / billing partner: We share information necessary for purchase management, fraud prevention, compliance, and refund processing with our Merchant of Record, Paddle.com Market Ltd.
- Legal compliance and safety: We may disclose information if required to do so by law, court order, regulatory request, or to protect the rights, property, or safety of ReasonEra, our users, or others.
6. Data Retention
We retain personal data only for as long as necessary for the purposes described in this Privacy Policy, including:
- to provide and maintain the Service,
- to resolve disputes,
- to enforce our agreements, and
- to comply with legal and accounting obligations.
Uploaded puzzle images and related AI outputs may be stored for a limited period to provide you with your results, troubleshoot performance, improve reliability, improve AI-model performance, and prevent abuse (for example, repeated automated scraping).
7. Your Rights (EEA / UK / GDPR)
If you are in the European Economic Area (EEA), the United Kingdom, or a jurisdiction with similar data protection laws, you may have the following rights (subject to limitations in applicable law):
- Right of access: You can request a copy of the personal data we hold about you.
- Right to rectification: You can ask us to correct inaccurate or incomplete data.
- Right to erasure: You can request deletion of your personal data, for example if it is no longer needed for the purpose it was collected (unless we are legally required to keep it).
- Right to restriction: You can ask us to restrict certain processing in some circumstances.
- Right to object: You can object to certain processing (for example, processing based on our legitimate interests).
- Data portability: You can request a machine-readable copy of certain data you have provided to us.
- Right to withdraw consent: Where we rely on consent, you may withdraw that consent at any time.
If you believe that we have not handled your personal data properly, you also have the right to lodge a complaint with your local data protection authority. We would appreciate the chance to address your concerns first.
8. Security
We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, misuse, alteration, or destruction. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.
9. Children's Privacy
The Service is not intended for use by anyone under the age of 16. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us so we can take appropriate action.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last Updated” date at the top of this page. If we make material changes, we will make reasonable efforts to notify you (for example, by posting a notice on the Site).
Your continued use of the Site or Service after the effective date of any changes means you accept the updated Privacy Policy.
